Form W-2: Filing Requirements
Form W-2, a wage tax statement provided by the employer to the SSA, would report the information regarding the wages paid to employees. It is also mandatory to provide your employees with a copy of Form W-2 to report their wages while filing their income tax return.
This Form W-2 is to be filed with the state of Indiana, only if there is a state tax withholding. The state of Indiana also mandates the filing of the Form WH-3, the Annual Withholding Reconciliation Form along with the wage tax Form W-2.
Form WH-3 reconciles the state and county income tax amount that is withheld across the year.
Form 1099: Filing Requirements
Form 1099, is an information return used to report the various other type of wages, salaries, interest, or tips paid to the individuals. There are number of different 1099 Forms available to report these payments such as Form 1099-NEC, MISC, INT, DIV, R, S and B etc., and even more.
But the state of the Indiana requires only Form 1099-R to be filed with it, only when there is a state tax withholding. Form 1099-R is used to report the distributions made on retirement plans, annuities, pensions, permanent and total disability payments., etc.
Be sure that the annual Reconciliation Form WH-3 is filed with the State of Indiana while you file the required 1099-R Form.

Form W-2 is required to be filed (paper/E-filing) within January 31st,2023 to both the SSA and the Indiana State. The recipient copies also need to be sent before
January 31st, 2023.
1099-R:
Deadline to file with the IRS & Indiana State
Federal: Form 1099 is required to filed with the IRS by January 31st, 2023 if you are e-filing your return and by January 31th, 2023 if you are paper filing the Form 1099-R.
Indiana State: Form 1099-R is required to be filed with the state of Indiana along with the annual Reconciliation Form WH-3 before January 31st, 2023.

All the employers are required to file this Form WH-3 to the State of Indiana within 31 days following the end of the calendar tax year.
